Job: Senior Accounts Receivable Administrator

Job Type: Full Time, Permanent 

Location: Braehead, Renfrew

Your Role:

To manage the Order Management process from contract acceptance through to invoicing in a timely and accurate manner.  To ensure revenue completeness and compliance according to the set guidelines.

As a CUSTOMER COACH - you will have the skills and ability to demonstrate that you can:

  • Build expertise with focus on the customer - have the curiosity and eagerness to be close to trends and innovation and to develop and make this expertise available for customer solutions.

  • From Service transaction to Customer journey, can assess the client’s situation, fundamental wishes and needs, also in unstructured context, and to add more value than the customer expected throughout the full customer journey and over omni channels.

  • Have the ability to collaborate effectively without boundaries (across teams, countries, languages, tools) colleagues, customers and network with his/her expertise, confidence and style.

Key Responsibilities:

  • Manage the processing of contracts and recording of ACV through Salesforce onto the Finance system.

  • Manage the customer contracts set up process within the finance system, reconciling back to the recorded ACV for the period and investigation and resolution of any discrepancies.

  • Prepare and raise intercompany recurring and one-off invoices in line with current group arrangements.

  • Complete tasks relating to third party billing, reconciliation and query management.

  • Manage the reporting, review and updating of pending contract lines. Capture all unbilled ACV, closing off by billing or obtaining authorisation to close off the contract lines.

  • Ownership and maintenance of the failed feeds process.

  • Maintain International charging sheets.

  • Process customer invoices in accordance with the contract or ad hoc agreement.

  • Assist with the month end close and reporting requirements.

  • Log and issue daily automated invoices.

  • Log and action of daily billing logs.

  • Manage and resolve escalated billing queries in a timely and efficient manner, to ensure invoices are paid promptly with no adverse impact on customers.

  • Adhere to all processes, procedures and controls.

  • Escalate key issues relating to unsecured revenue, billing and customer complaints to the Contract Billing Manager.

  • Mentor the team, promoting best practise and consistency across all processes.

  • Lead project teams as assigned by the Contract Billing Manager.

  • Additional tasks assigned by the Contract Billing Manager.

  • Cover tasks for the Contract Billing Manager during busy periods or absence.

Your Profile:

  • Proven experience in a similar billing or accounts receivable role

  • Excellent communication skills

  • Excellent organisational skills whilst being able to multi task and prioritise workload

  • A high level of numerical, analytical skills and attention to detail

  • Proficient user of Microsoft Excel (ideally advanced level user)

  • Knowledge of Great Plains desirable
